The Mobile Sales Order App for Your Sales Force in the Field

The Mobile Sales Order App for Your Sales Force in the Field

Huakai is Gohoku's own mobile sales app for field sales reps, built and supported by our Honolulu team. Huakaʻi is the Hawaiian word for a journey, and the app is made for the people who spend their day on one: route salespeople, account reps and merchandisers who write orders standing in a customer's aisle. A rep picks the customer, scans or searches the items, sees that customer's own prices and what is in stock, prints a receipt and sends the order to the office before walking out the door. It keeps working where there is no signal, and a web back office gives the sales desk every order as it arrives.

An Order in a Few Taps

Find a customer by name, customer number, street, city or phone number, with the ones you ordered for lately at the top. Set the order type, date and PO number on one screen, then add items. The running total, units and line count stay in view the whole time.

Works With No Signal

Customers, products, prices, stock and order history are kept on the device, so a stockroom, a basement or a stretch of road with no bars does not stop the work. Press submit anyway: the order waits on the device and sends itself when the connection comes back.

Scan a Whole Shelf at Once

The camera reads one barcode or every barcode in view as you walk the shelf, naming each item as it is found. It can also read every barcode in a photo. A Bluetooth hand scanner works too, and none of it needs a signal.

Each Customer's Own Prices

Every order is priced from that customer's price list, with volume discounts applied as the order grows and credits handled as their own order type. Reps see the price and how many are in stock on every row, so nobody promises what the warehouse does not have.

Search That Understands Your Catalog

Type words in any order and ignore the punctuation. Huakai learns the shorthand in your item descriptions, so "christmas ornament" finds XMAS ORN. Switch to item number or UPC for the number pad, and hide what is out of stock with one tap.

Order Again and Shelf Check

Bring up what the customer ordered last time, with the same quantities, and tick what they want. Or scan what is on their shelf and let Huakai list the usual items that are missing, ready to add. Saved item lists and a copy-to-another-customer button cover the chains.

Know the Customer Before You Walk In

A one-screen briefing shows the last order, how often they order, what they buy most, and what they usually buy that was not on their last order. Call them or open directions in Apple Maps or Google Maps with one tap.

Who Is Due for a Visit

Huakai lists the customers who have not ordered in 30, 60 or 90 days, the longest first, for one rep's accounts or all of them. A sales tile shows what the rep has sent today, this week and this month, with credits shown separately.

Print a Receipt, E-mail a Copy

Print on a pocket Bluetooth receipt printer before you leave: items by your item number, UPC or the customer's own item number, tax, a signature line and the order number as a barcode. Send the customer a copy by e-mail from the same screen.

A Back Office for the Sales Desk

A web site for the office shows orders as they come in and passes them on to your ERP. Search by order, customer or PO, correct and resend an order, and run sales reports by rep, customer or product. The office also controls price overrides, customer discounts, which items each customer group may buy, and the receipt layout.

Mobile Sales Order App FAQ

It is an app that lets a salesperson write a customer's order on a phone or tablet at the customer's location, instead of on a paper pad or in a text to the office. The app carries the customer list, the catalog, prices and stock, and the finished order goes straight to the office system with no retyping. Huakai adds the things a field rep actually needs around that: barcode scanning, receipts, order history and a list of who to visit next.

Yes. A sync copies your customers, products, prices, stock levels and order history onto the device, and searching, scanning, pricing, order history and printing all work from that copy. An order submitted with no signal is marked as waiting to send and goes out by itself when the device is back online, while the rep carries on with the next customer.

Huakai runs on iPhone and iPad. The iPad layout uses the larger screen and works in any orientation, and there is a light and a dark appearance for bright lots and dim stockrooms. Gohoku installs the app and sets up each rep, so there is nothing for your team to configure.

No. The camera on the iPhone or iPad reads UPC barcodes on its own, one at a time or a shelf at a time, and the reading happens on the device, so it works without a signal. If your reps already carry Bluetooth hand scanners, those work as well.

Yes. When an order is started, Huakai builds that customer's own price list, including the prices and discounts the office has set for them, and applies volume discount tiers as the order total grows. If a rep copies an order to another store, the items are re-priced for the new customer and anything that customer is not allowed to buy is listed as skipped.

Orders sent from the app land in the Huakai back office, which hands them to your order system and flags any that it rejects so the sales desk can fix and resend them. Customers, products, prices and stock flow the other way to the devices. Gohoku builds that link to your system as part of setting Huakai up, the same team that does our ERP development and integration work.

With one tap on Sync. It downloads the current customers, products, prices and stock, and a sync that is interrupted leaves the device exactly as it was instead of half updated. If a device has not synced for more than a day, the home screen reminds the rep, because prices and stock may have changed.

Yes. The back office has sales reports by salesperson, by customer and by product for any date range, and a report you use often can be saved and run again. Every order is searchable by order number, customer number, store name or PO, with a count of orders that still need attention.

Why Paper Order Pads and Texted Orders Cost You Sales

An order written on a pad is entered twice, once by the rep and once by whoever types it in, and every retyped line is a chance for the wrong item or the wrong price. The rep cannot see stock, so the customer is promised goods that are not there. And nobody on the road can see that a good account quietly stopped ordering two months ago. Huakai closes all three gaps: the order is entered once, at the shelf, at the right price, with stock on the screen and the customer's history a tap away.

Built for Routes Where the Signal Comes and Goes

Anyone who sells on the neighbor islands, in a warehouse district or at the back of a big-box store knows the bars disappear exactly when the order is ready to send. Most ordering apps are web pages in disguise and stop working when that happens. Huakai was designed the other way around: the device holds what the rep needs, and the connection is only used to sync and to send. A rep can work a full day of stops offline and have every order go out on the drive home.

Who Huakai Is For

Huakai fits any business that sends people out to take orders: wholesale distributors and warehouses, manufacturers and their reps, food and beverage suppliers, and gift, souvenir and consumer-goods companies whose salespeople restock retail stores. It handles catalogs of many thousands of items and customer lists of many thousands of stores on an ordinary iPhone.
